How to Set Up No-Show Deposits and Cancellation Policies

A deposit and cancellation policy does three things: it reduces no-shows, it compensates you when clients cancel without adequate notice, and it filters out clients who are not serious about their appointments. All three are good for your business.

The Policy Framework

A complete deposit and cancellation policy covers:

  1. Deposit amount and what it applies to
  2. Cancellation window (when a refund is given)
  3. What happens to the deposit if the client cancels late
  4. What happens in a no-show
  5. Exceptions (illness, emergencies)

Sample Policy Language

A non-refundable deposit of [amount or %] is required to confirm your appointment. This deposit is applied to your service total at checkout. Cancellations made with more than 24 hours notice will receive a full refund. Cancellations within 24 hours of the appointment will forfeit the deposit. No-shows will forfeit the deposit and may be required to pay a full deposit for future bookings.

Adjust the cancellation window to match your business — 24 hours is standard, 48 hours works better for long services like color where you cannot easily backfill.

Communicating the Policy Without Losing Clients

The key is framing. "We require a deposit" sounds like you distrust clients. "Your appointment is now confirmed with a deposit that counts toward your total" sounds like a service upgrade.

Publish the policy clearly on your booking page before the client enters their card. Repeat it in the confirmation SMS. This transparency eliminates disputes at checkout because the client knew the terms when they booked.

Handling Exceptions

Genuine emergencies happen. A client who calls 2 hours before their appointment because they have a fever deserves a refund and goodwill. The policy exists for the repeat offenders and the low-commitment bookers — not for genuine emergencies.

Use your judgment, keep notes on exceptions, and reward clients who communicate instead of just not showing up.
